The Personnel Administration Module is structured in three implementation phases

  1. Generate pre-filled employment documents

    Create employment documents automatically pre-filled with employee data, using customized templates or standard templates (provided by Creasoft). For new hires, complete sets of documents can be generated with a single click.

    A typical document set can include:

    • Individual Employment Contract (CIM)
    • GDPR consent
    • Confidentiality clause (NDA)
    • Job description
    • Internal Regulations (ROI) and its annexes
    • Any other company-specific documents

    Occupational Health & Safety and Fire Safety instructions and forms (SSM/PSI) can also be digitized, and training sessions can be launched online automatically to employees. If you opt for electronic signing of these OHS and Fire Safety / Emergency forms by employees, you achieve optimal performance and a reduced processing time for HR and/or safety specialists.

    Once generated, documents can be sent to employees via email or SMS for electronic signing—a process implemented by Creasoft that greatly simplifies signing and archiving.

    If you choose electronic signing, documents are automatically archived after signing in the electronic personnel file, alongside existing personal or employment documents for each employee who has signed at least one document electronically.

    Alternatively, documents can be printed for wet signature, then scanned and uploaded (bulk or individual) to each employee’s electronic file—a longer process that consumes time, paper, envelopes, courier costs, and traditional archiving.

  2. Manual or automatic synchronization with REGES

    Synchronization with the REGES platform includes automatic import of existing data from REGES (itself synchronized with the former Revisal), as well as manual or automatic updates to changes made in the Creasoft interface for one or more employees, with those changes propagated to REGES automatically.

  3. Online employee declaration & self-service uploads

    Employees complete their declaration online, upload their personal documents, and these are saved automatically into each employee’s electronic file. Digitizing this process means sending requests and forms electronically to the employee, who completes and uploads the required documents themselves.

    Creasoft provides intelligent verification of uploaded documents via an integrated AI agent, enabling automatic intake into the electronic file and auto-population of key data from personal documents— including expiration dates where applicable—followed by automatic expiry alerts.

    It is also important that, once the onboarding declaration is completed online and electronically signed by the employee, responsibility for the data in the declaration rests entirely with the new hire.
